The Administrative Assistant is responsible for supporting the VP of OSQ with administrative tasks such as meeting scheduling, managing the OSQ team calendar, note taking, data entry, record keeping, payroll, expense reports, and budget management.
Additional responsibilities include, but are not limited to, fulfilling sales sample requests, ordering office supplies and dry goods inventory, reviewing and updating OSQ documentation, preparing documents and communication for the VP of OSQ, coordinating plant tours and other relevant events.
Principal Duties:
Coordinates meetings, sets agendas, and records minutes with input from the VP of OSQ Manages the OSQ team calendar for staffing, inbounds, outbounds, QCs, and production with direction from the VP of OSQ Responds to internal and external inquiries professionally and refers them to the proper channels Interfaces with the Sales team for document, sample, tour, and custom project requests Manages office supply and dry goods inventory replenishment in partnership with the Director of Supply Chain Processes department invoices and works collaboratively with the Finance Team for vendor payments Reviews and approves expense reports in Certify Completes weekly payroll approvals and reporting for the VP of OSQ Conducts data collection, entry, and reporting to Excel and Sharepoint for the VP of OSQ Manages OSQ budget reporting to the VP of OSQ Maintains document and task trackers and requests missing or expired documents from the appropriate point of contact and converts physical records to electronic records as needed Maintains accurate sales sample inventory and organization Properly packs and ships samples to ensure on time, in full delivery every time Performs additional job-related duties as assigned High School diploma or equivalent Minimum 3
years of experience as an administrative assistant or similar role Self-starter with organized and detailed work habits and excellent time management skills Ability to maintain strict confidentiality Ability to independently solve problems and work cross-culturally Proactive mindset with strong attention to detail, initiative, and follow-through Strong math skills, ability to perform calculations, and work effectively in Excel Comfortable with repetitive tasks and able to sit for long periods of time in an office located in a wet and variable temperature manufacturing environment Strong computer skills including MS Office Outlook, Word, Excel, and PowerPoint and ability to learn other software as needed Excellent customer service skills Professional communication skills (verbal and written) in English required; Spanish a plus A strong belief and commitment to continuous learning and improvement, positive attitude, teamwork, accountability, and ethical behavior PIcaede5d91f76-26289-32743999 Recommended Skills Agenda Development Attention To Detail Calculations Confidentiality Curiosity Customer Service Estimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
